Art and Cultural Exhibit Proposals

Exhibits at the Learning Centre are curated by the Community Engagement team in collaboration with Rare Books and Special Collections. We are currently accepting applications for 2024. Approved exhibits are generally on display for one to two months and will be booked for the entire exhibition space (four free-standing display cases). Submission Process

  1. Read and adhere to the IKBLC Exhibition Goals and Criteria.
  2. Submit the Art Exhibit Booking Request a minimum of three months in advance.
  3. Upon approval, sign a completed Exhibit Agreement and send a copy to Program Services Assistant Kristen Wong.

The Learning Centre will approve or reject each proposal in a timely manner and contact you with the result.

IKBLC Exhibition Space Goals and Criteria

The exhibit cases at the Irving K. Barber Learning Centre provides a space to showcase the University of British Columbia’s past, present, and future projects. IKBLC supports UBC Library’s mission to:

  • Make resources available;
  • Encourage the pursuit of lifelong learning;
  • Advance open scholarship;
  • Promote campus engagement, student leadership, and student and faculty engagement with BC communities;
  • Promote open and respectful dialogue of scholarly outputs;
  • Promote UBC Library’s collections, services, and role within UBC and the community as a resource for research, learning, and teaching.

Priority is given to exhibitions that:

  • Highlight UBC Library collections, services, events, or research;
  • Promote the scholarly works and projects of UBC students, faculty, and staff;
  • Appeals to the general audience.

Please note that the IKBLC exhibition space is available to UBC departments and organizations. We are currently not accepting exhibition requests from artists or organizations not affiliated with UBC unless the exhibitions represent a collaboration with a member of the UBC community.

Policy and Terms and Conditions

Liability

The Irving K. Barber Learning Centre does not accept liability for damages, losses, or theft to the materials exhibited. The exhibit space must be left in satisfactory condition. Exhibitors using the art exhibit space must assume liability for damages to the Learning Centre’s property resulting from said usage, as assessed by the Learning Centre.

Exhibitors agree to release the Irving K. Barber Learning Centre and its officers, employees, agents and elected officials from and against any and all claims, actions, damage, loss or injury, howsoever or whenever occurring, to works and other property any person at the IKBLC as a result of or in any way connected to the display of the said works.

Set-up and Take-down

Exhibitors must coordinate times for set-up and take-down of exhibit items with our staff.

Storage

Storage for items owned by the exhibitor cannot be provided.

Commercial Sales

Please note that the Learning Centre does not participate in commercial sales. No prices will be displayed with items. With permission we will make the exhibitor’s name and phone number available to the public.

Lead contacts

It is the responsibility of the person who signs the agreement for space use to serve as the authorized representative of the group and to remain as the lead contact on the premises throughout the period for which it is reserved.

Please do not solicit assistance from IKBLC building tenants. Direct all inquiries to your designated liaison from Learning Centre Community Engagement.

Non-compliance With Our Policy

In order to maintain IKBLC’s art exhibition space, the above terms and conditions apply. Non-compliance with the above policies may result in the denial of future booking requests.
Exhibitors violating the Learning Centre’s policies may…

  • have their bookings privileges suspended.
  • have future booking requests denied.
  • have fines levied on their account/record.
  • have other penalties applied as determined by IKBLC.
